Administrative Assistant: Fundraising and General Support

About the position

The Administrative Assistant plays a key role in supporting the fundraising efforts of the Executive Director and other senior leadership including clergy and lay leaders. This position also partners with a team of administrative staff to ensure excellence in NSCI’s daily operations.

                                   

Key responsibilities

  • Daily administrative support of all fundraising efforts, including annual appeals, capital campaigns, general contributions, legacy gifts, and donor restricted funds.
  • Coordinate staff and lay leaders’ interactions with congregants around fundraising including appointment scheduling, event support, and logistics.
  • Process data in CRM system, entering congregant data and running reports, developing forms and rosters.
  • Record, track and manage all donations and generate thank-you notes on a daily basis with meticulous detail. 
  • Ensure accurate and consistent gift entry of all capital campaign pledges and pledge payments; manage pledge reminder process; prepare and distribute accurate campaign reports. 
  • Support programmatic efforts related to fundraising, including supply and facility coordination, outreach to participants, and tracking of expenses. 
  • Support the administrative needs of various committees including scheduling meetings, preparing and distributing meeting minutes, notices, and follow up materials.
  • Administer the ordering of yahrzeit (memorial) plaques and oversee weekly yahrzeit reports of names to be read at services.
  • Answer temple phone calls, greet congregants, and screen visitors at the front door as part of the larger administrative team.
  • Proofread congregational communications for accuracy.
  • Provide general administrative and programmatic support for temple-wide programs such as holidays and community-wide events.
  • Other duties as required.

Qualifications and Competency Requirements

  • Enthusiasm for the vision and mission of NSCI.
  • Excellent organizational skills with a focus on accuracy and attention to detail.
  • Very high level of proficiency with CRM systems, Microsoft Office and Google Drive software.
  • At least 3 years in an administrative role, preferably as an Administrative Assistant.
  • Strong communication (both written and verbal) and interpersonal skills.
  • Approachable with the ability to maintain positive relationships at all levels of the organization.
  • Possess a high level of integrity and utilize discretion in handling confidential material.
  • Ability to anticipate executive needs and understand key business concepts and processes.
  • Ability to multitask and prioritize a diversified workload, meeting established deadlines with minimal supervision and in a busy office environment.
  • Understand the value of the role of the synagogue in the community today.
  • Service-oriented.
  • Flexible and willing to work longer hours when needed, including occasional nights or weekends.
  • Positive outlook and ability to maintain a calm demeanor under pressure.
